Grant tracking checklist

  1. Every open opportunity has one named owner.
  2. Deadlines include internal review dates, not just the funder's date.
  3. Award letters are read for reporting dates the day they arrive.
  4. Required documents are listed before drafting starts.
  5. Renewal dates are on the calendar a full cycle ahead.

Board report outline

  1. Funds raised against goal, with one sentence on why.
  2. Grants submitted, awarded and at risk this period.
  3. Program reach and activity, aggregate only.
  4. Three items needing a board decision or introduction.
  5. What changed since the last report.

Find the work between your systems

  1. List every export someone runs more than once a month.
  2. Note every number that gets typed into a second system.
  3. Count the reminders that rely on one person's memory.
  4. Ask which report takes longest to build, and why.
  5. Pick the single hand-off that would save the most hours.
